Manage Case Correspondence - IME Assessment

OVERVIEW

Case Correspondence is where you send emails, check for new emails, and have all relevant correspondence stored automatically for future investigation.

Emails (from APP SETTINGS > Mail Templates) sent from within the case (e.g. sending the Appointment Confirmation email) are automatically logged into Case Correspondence.  Additional communications can be logged in Case Correspondence manually or through Auto Mail Syncing.

AUTO MAIL SYNCING

This function allows external emails sent via your integrated email application to automatically sync into the case correspondence list.

To trigger this function, include in your email’s title the keyword “Case No:” along with the case number (eg. “Case No: 001726”). Kawaconn will automatically list that email in the Case Correspondence section.

Tip: Copy/paste the case’s Summary on the right of the screen into the Subject line is a useful habit. The summary helps to trigger this function, and also includes all information you need for future investigation.

ADD AND SEND CASE CORRESPONDENCE

  1. Go to the Case Correspondence section.
  2. Click on Add Case Correspondence.
  3. A window will appear, displaying details about the correspondence.
  4. Fill in these blanks, choose sender/receiver, draft your mail, and click Send. If it is not an email and you are not sending anything, just click Save.
  5. If the mail needs double-checking, click Save instead. You can come back, click Details, edit, and send later.

VIEW CASE CORRESPONDENCE

  1. Go to the Case Correspondence section.
  2. Browse the list of correspondence related to the case, including sent and received messages.
  3. Under each subject, select Details to view the full message.

EXPORT CASE CORRESPONDENCE

By selecting Export Case Correspondence in the Case Correspondence section, the system will generate an Excel file containing the entire correspondence list.
