Create an IME Booking via Appointment Direct
OVERVIEW
Case Managers (Law Firms/Insurers) can book and request Independent Medical Examinations (IMEs) to obtain a medicolegal report that is written for their claimant. IMEs involve the organisation of an appointment for the specialist to perform an assessment on the claimant’s condition.
You can create an IME Assessment booking using one of the following options:
- Create an IME Booking via Clinic Calendar
- Create an IME Booking via Appointment Search
- Create an IME Booking via Appointment Direct
This article explains how Case Managers can create a direct IME booking, allowing them to proceed without predefined criteria or a selected specialist.
RECOMMENDATION
Direct IME bookings are recommended when you haven’t defined specific criteria or finalised your choice of specialist or session before creating a booking.
CREATE A DIRECT IME BOOKING
- Create a new IME Assessment using one of the following options:
- Dashboard → Book a Service → IME (hover) → Via Appointment Direct

- My Cases → IME Assessments → Add New Case (hover) → Via Appointment Direct

- Complete all required fields and any additional relevant information for the new IME Assessment case, then select Create to save.
- After the case is successfully created, an Appointment Inquiry will automatically be sent to staff for follow-up.
ADD AN APPOINTMENT TO AN IME CASE
When creating a direct IME case, you don’t need to include Appointment Details. When ready, you can add an appointment by selecting a session from the Calendar or manually entering an ad-hoc appointment.
Add an Appointment via Clinic Calendar
Use the Clinic Calendar to search for available sessions that match your case requirements.
- Go to the Appointment Details section in the IME case.
- Under Scheduling Appointment, select Add Appointments to open the Clinic Calendar.

- Search the Calendar to find and select the session you would like to add.

- Select a suitable session and click the Book this session button.
Tip:
- To learn how to use the Clinic Calendar, refer to Create an IME Booking via Clinic Calendar.
- Sessions added to a case act as placeholders for review before booking, allowing up to three per case – known as a Multi-Appointment Case. To learn more, refer to Add Single or Multiple Appointments.
- Click Confirm on one placeholder session to link it to the case, making the remaining placeholders available for other bookings. Then, click Save to update the case.

Add an Ad-hoc Appointment
When no suitable sessions are available, you can create an ad-hoc appointment. PIC will then coordinate with the specialist for confirmation. If the specialist declines, PIC will contact you to arrange an alternative appointment.
- Go to the Appointment Details section in the IME case.
- Under Scheduling Appointment, manually enter session details.

Request Extra Appointment Options
Ad-hoc Appointments are used to create a single session. If you are considering multiple specialists, you can request Extra Appointment Options by specifying your preferences. Once an appointment becomes available, you will receive a notification.
- Go to the Appointment Details section.
- Select the Booking CM requests more appointment options checkbox.
- Select Preferred Specialists from the drop-down list.
- Select a range of Preferred Appointment Date.
- Tick Booking CM under Send Appointment Options Upon Availability.
- Select Save to store the information.
