Create an IME Booking via Appointment Direct
OVERVIEW
There are 3 different methods that users can use to create an IME Assessment booking. This article covers creating a direct IME booking.
RECOMMENDATION
Direct IME bookings are recommended for when the Booking Case Manager does not have defined criteria or a finalised decision to select a specialist (and session) when creating a booking.
CREATE A DIRECT IME BOOKING
- Create a new IME Assessment, using any of the following areas:
- Dashboard → Book a Service → IME (hover) → Via Appointment Direct

- Reporting Services → IME Assessments → Add New Case (hover) → Via Appointment Direct

- Fill in all required information for the new IME Assessment case and select Create to save.
Note: Once created, the new case is added to the IME Assessments database and given a new and unique Kawaconn Case ID.
ADD AN APPOINTMENT IN AN IME CASE
When creating a direct IME case, Appointment Details are not required. When you are ready to add an appointment, you can add a session from the Calendar, or manually enter a new appointment ad-hoc).
Note: Manually added appointments appear on the Clinic Calendar once sufficient information is provided in Appointment Details (Specialist, Clinic Centre, Appointment Date/Time).
Add an Appointment via Clinic Calendar
- In the IME case, go to section Appointment Details.
- In sub-section Scheduling Appointment, select Add Appointments (blue button).

- Search within the Calendar for the session you would like to add.
- When found, open the session and select Book this session.
- Once selected, the session is directly added to the corresponding case as a ‘placeholder’ session (see ‘Placeholder’ Session Notes for more info).
- If ready, select Confirm to connect the appointment to the case (upon save).
- Once connected, the Case Status refers back to the session’s Availability Type to determine the Case Status upon saving.
- Availability Type: Unconfirmed Available -> Case Status: Appointment Requested
- Availability Type: Confirmed Available -> Case Status: Appointment Confirmed
- Once connected, the Case Status refers back to the session’s Availability Type to determine the Case Status upon saving.
‘Placeholder’ Session Notes:
- Sessions added from the Case are treated as a ‘placeholder’ session that a Case Manager might consider choosing to book.
- Up to 3 ‘placeholder’ sessions can be added per case. This is called a Multi-Appointment Case.
- Only until one of the placeholder sessions is selected and confirmed does it formerly connect to the case.
- ‘Placeholder’ appointments are supposed to be temporary and providers should prioritise handling Multi-Appointment cases so that the remaining sessions that don’t get booked for this case get released back onto the calendar for another booking.
Add an Ad-hoc Appointment
- In the IME case, go to section Appointment Details.
- In sub-section Scheduling Appointment, manually enter session details.
Note: Manually added appointments appear on the Clinic Calendar once sufficient information is provided in Appointment Details (Specialist, Clinic Centre, Appointment Date/Time). Once the appointment is added to the Calendar, appointment fields are greyed out and can only be edited by using Reschedule (Direct).

Request Extra Appointment Options for booking CM
Kawaconn assures that CMs can always work with the specialists they prefer. This section notifies the CM when the requested specialist becomes available.
- Tick Booking CM requests more appointment options.
- Select Preferred Specialists from the drop-down list.
- Select a range of preferred appointment dates.
- Tick Booking CM under Send Appointment Options Upon Availability.
