Track SR Paperwork sent to Specialist

OVERVIEW

The Booking Case Manager is responsible for preparing the Letter of Instruction (LoI) and other relevant documents for the Supplementary Report process. They may also request urgent report completion when necessary. This article explains how Case Managers can upload the required paperwork and submit urgent report requests through the system.

TRACK PAPERWORK SUBMISSION TASKS

You can track cases that require paperwork uploads using the following options:

    • Option 1: Dashboard → SUPP Tasks → Click Upload Paperwork (only visible if a task exists) to open the Case & Documents Search tab and view cases requiring paperwork uploads.
    • Option 2: Search Options → Case & Documents Search → In the filters:
      • Select Supp Reports in the Select Services filter
      • Select Upload Paperwork in the Select Task filter
    • Option 3: My Cases → Supplementary Reports (SR) → Select Send Case Documents in the Next Task filter → Click the search icon to view cases.

Afterward, click the case number or Upload Paperwork to open the case and upload the paperwork.

UPLOAD CASE DOCUMENTS

  1. In the Supplementary Detail, go to Booking Confirmation & Paperwork Status section
  2. There are two methods for sharing documents in the Kawaconn software:
    • Attachment: This includes the Letter of Instruction and any other relevant documents. Click the corresponding fields to upload the files. You can also use OpenAI to summarize the documents.
    • Share Download Link: Provides a direct link for accessing the document.
  3. Click Save to store the information.
Note: After the case is saved, Kawaconn will notify the staff to review it before it is sent to the specialist.

REQUEST URGENT REPORT COMPLETION

  1. Go to the Booking Confirmation & Paperwork Status section
  2. Tick the Urgent Report Completion checkbox.
  1. A confirmation popup will appear. Select Yes to proceed.
  1. Choose one of the available Urgency Status options:
    • VWA Report: Urgent reports between 2–7 business days of appointment date, additional fees apply.
    • Other Report: Urgent reports between 7–14 business days of appointment date, no additional fees apply.
  1. Set the requested completion date in the CM Requested Report Completion By field.
  2. Tick the Request Authorised by CM checkbox
  3. Select Save to store the information.
